Purpose
The purpose of this policy is to provide clear guidelines for identifying, disclosing, and addressing conflicts of interest within Ktown Team. This policy aims to uphold the highest standards of ethics, integrity, and transparency in all of our operations and decision-making processes.
Scope
This policy applies to all individuals associated with Ktown Team, including but not limited to:
- Board members
- Staff (full-time, part-time, and temporary)
- Volunteers
- Contractors and consultants
- Partner organizations and their representatives
Definition
A conflict of interest occurs when an individual's personal, professional, financial, or other private interests interfere with, or appear to interfere with, their ability to act in the best interests of Ktown Team.
Examples of potential conflicts of interest include, but are not limited to:
- Financial interests in organizations that do business with Ktown Team
- Personal relationships with vendors, partners, or beneficiaries of Ktown Team's services
- Serving on boards of organizations with competing or conflicting interests
- Using Ktown Team resources or information for personal gain
- Accepting gifts or favors from individuals or organizations that interact with Ktown Team
Policy
Disclosure
- All actual, potential, or perceived conflicts of interest must be promptly disclosed in writing to the appropriate supervisor, manager, or board member.
- Disclosures should be made using the Conflict of Interest Disclosure Form (to be provided separately).
- Disclosures must be made:
- Upon joining Ktown Team
- Annually thereafter
- Whenever a new conflict arises
Resolution
- The appropriate supervisor, manager, or board will review all disclosures and determine the necessary steps to address the conflict.
- Possible actions to address conflicts include, but are not limited to:
- Reassigning duties or responsibilities
- Recusing the individual from discussions and decisions related to the conflict
- Seeking an independent evaluation or opinion
- Terminating relationships with vendors or partners if necessary
- All decisions and actions taken to resolve conflicts will be documented and kept on file.
Confidentiality
- All disclosures and resolution processes will be kept confidential to the extent possible.
- Information will only be shared on a need-to-know basis to resolve the conflict.
Non-Compliance
Failure to disclose conflicts of interest or comply with this policy may result in disciplinary action, up to and including termination of employment, volunteer status, or other association with Ktown Team.

Implementation
- Annual Training: All board members, staff, and volunteers will receive annual training on this policy and related ethical considerations. Training will cover real-world examples, best practices, and strategies for identifying and managing conflicts.
- New Member Orientation: All new members joining Ktown Team will be informed of this policy as part of their orientation process. They will be required to sign an acknowledgment form confirming their understanding and commitment to compliance.
- Documentation: Sample conflict disclosure forms and resolution documentation templates will be provided and regularly updated. All forms and related documents will be securely stored and accessible only to authorized personnel.
- Leadership Example: Leadership at all levels of the organization will exemplify the highest standards of ethical behavior and compliance with this policy. They will actively promote a culture of transparency and integrity through their actions and decisions.
- Regular Review: This policy will be reviewed annually by the board and updated as necessary to ensure its effectiveness and relevance. The review process will include input from staff, volunteers, and external stakeholders as appropriate.
