Reporting Channels
We offer multiple channels for reporting concerns to ensure accessibility and comfort for all whistleblowers:
- Anonymous Reporting: Submit an anonymous report through our secure online portal or contact our reporting team directly.
- Supervisors or Trusted Leaders: Report your concerns to your immediate supervisor, team lead, or another trusted leader within the organization.
- Board of Directors: Elevate your concerns directly to the board of directors.
- External Authorities: If you feel that internal channels are insufficient or inappropriate, you may report to relevant external authorities, such as regulatory agencies or law enforcement.
Whistleblower Protections
Ktown Team strictly prohibits any form of retaliation against individuals who report wrongdoing in good faith. Retaliation can include adverse actions such as termination, demotion, harassment, discrimination, or any other punitive measures. Any person found to have engaged in retaliation will face disciplinary action, up to and including termination of their association with the organization.
Investigation Process
All reports of wrongdoing will be taken seriously and investigated promptly and thoroughly:
- Acknowledgment of receipt will be provided within 2 business days.
- An initial assessment will be conducted within 5 business days to determine the need for a full investigation.
- If a full investigation is warranted, it will typically conclude within 30 days, barring any extenuating circumstances.
- The whistleblower will receive regular updates on the progress of the investigation.
- Upon conclusion, the whistleblower will be notified of the outcome to the extent permitted by legal and confidentiality constraints.
Confidentiality
We are committed to maintaining the confidentiality of the whistleblower's identity to the maximum extent possible. However, in certain circumstances, disclosure may be required by law or necessary to ensure a thorough and fair investigation. In such cases, we will inform the whistleblower prior to revealing their identity.
Governance and Oversight
The board of directors is responsible for overseeing the integrity of the whistleblower process. Their duties include:
- Receiving regular reports on whistleblowing activities
- Reviewing and approving policy changes
- Intervening in cases involving senior management or potential conflicts of interest
Prohibition of False Claims
While we strongly encourage the reporting of genuine concerns, we prohibit the filing of knowingly false or malicious reports. Individuals found to have made such reports may face disciplinary action.
